Dates Definition

This article briefly defines the different types of document dates you can find within Safelink.

  • Date Added - This refers to the date and time on which a document was uploaded to the workspace.

  • Sent Date - This date corresponds to the Date field in the email header, which represents the date and time at which the email was sent.

  • Custom Date - This is a date that has been manually added by a user within the workspace and is not derived from metadata or any system data.

  • Modification Date from Document - This refers to the last modification date of a document as dictated by the computer system's EXIF data. This date represents the most recent update to the file, such as when changes were made to its contents or attributes.

  • Creation Date from Document - This refers to the date and time when the document was created as dictated by the computer system's EXIF data. For image files this may not be the date the photo was taken, for example, if the photos were not immediately scanned and created on a computer system, the file may have a Creation Date from Document and an Original Date from Document date.

  • Original Date from Document - This represents the date when the actual content of the document was created. For image files, this date reflects the actual date the photo was taken.

  • Coding Date/Date and Time - This is a date entered by reviewers during a document coding process. Date Coding fields are created in the Codes & Metadata section of the Manage Workspace menu and coding dates are added using the Document Viewer Coding Side Panel.

  • Auto Date - This is the date that our system automatically calculates and assigns as the Primary Date of the document. The date is chosen based on file type and the most likely date to be required in reports.

  • No Date - If no date can be acquired from the file itself, the Auto Date will be set to “No Date”. This option can be chosen if it is preferable to have a blank date entry for a file in an export index date column.

  • Primary Date – The Primary Date is the date the system will use whenever a document date is required, for example, in an export index. By default, the Auto Date is set as the Primary Date of the document but there is the option to select another date option using the Primary Date selector on the Document Viewer Coding Side Panel.
