How to Export Room Contents

Export all room or workspace content, including documents, secure mail messages, and other related content, into a single ZIP file. You can choose to include audit logs, tags, and items from the Trash. Each export includes a document index with MD5 checksums to verify data integrity and can be protected with a password for added security. This feature is available only to Workspace Managers, and requires the Export All Contents permission.

 



  1. To begin, click Manage Workspace.

     

  2. Click Reports.



  3. Click Run Report.



  4. In the report setup, you can choose which options and items to include in the export.
    1. Encryption Password: Optionally protect the exported file with a password for enhanced security.
    2. Ignore Folder and Document Permissions: When enabled, all room or workspace content is exported regardless of individual folder or document permission settings.
    3. Include Audit Logs: Includes a complete audit trail of all actions and changes that occurred within the room or workspace.
    4. Include Secure Mail: Includes all secure mail messages exchanged within the room.
    5. Include Q&A: Includes all questions, answers, and related discussions from the Q&A application.
    6. Include Contents of Trash: Includes items that have been deleted and are currently stored in the Trash folder.
    7. Include Tags: Includes all tags and labels applied to documents and folders.
    8. Include Metadata: Includes  document metadata.



  5. After selecting the items to include in the export, click Run Report to start the export.



  6. Safelink will prepare your report to download.



  7.  Lastly, click Download Report.



  8. A ZIP file will be downloaded to your computer. The ZIP file will contain all documents and folders, the document index, and any other items you selected in the report setup.
