Guide to Setting Up Labels and Custom Metadata Fields

Labels & Metadata page lets you create and manage metadata fields and labels for your workspace. You can use fields to classify documents and other items.

Requirements

  • Only Workspace Managers can set up Labels and Custom Metadata Fields.

  • The Document Coding app must be enabled to access this page.



Guide to Setting Up Labels and Custom Metadata Fields

  1. When you open the Labels & Metadata page, you will see a list of all existing fields for your workspace.
  2. You can search for a field using the search input.
  3. Select the field you would like to view, then click the View icon in the action toolbar.
  4. A window containing relevant information about the field will open. You can use this window to review the field details. Click the X icon to close the window.
  5. Click Add a New Field.
  6. The Field Details window will open. Enter a name for the field.
  7. Optionally, add a short description for the label.
  8. Select a field type: Yes/No, Tag, Text, Date, Date & Time, Number, or Rating.
  9. Select the item type that the field applies to: Block, Stop, Room, Room Member, Document, or Document Folder.
  10. Show this field in the labels panel? - Tick this if you want to add or edit the field's content using the labels panel in the show pane. If unticked, you can still change the field content using the Add Labels option on the document view action toolbar.
  11. Include in classify status? (only visible if "Show this field in the labels panel?" is ticked) - Tick this if this field must be completed as part of your review process. A document will not be marked fully reviewed unless this field has been filled in.
  12. Choose a colour (only available for Yes/No and Tag field types) - Pick a colour for the field.
  13. Click Create to save the new field.
  14. Select a field from the list and click the Edit icon from the action toolbar.
  15. Update any of the available details and click Update to save your changes.
  16. Select a field from the list and click the Delete icon from the action toolbar..
  17. Click Ok to confirm the deletion.
  18. The field will be permanently removed.
  19. Yes/No and Tag fields appear as labels in the List View.
  20. Yes/No and Tag fields appear in the Labels column in Grid View.
  21. Other field types (Text, Date, Date & Time and Number) appear as separate columns in the Grid View. These columns can be enabled or disabled through the Grid View settings. See Grid View - View Settings for more information.
  22. Document fields will appear in the Labels panel in the Showpane when the Show this field in the Labels panel option is enabled for that field.

Notes

  • The number of fields you can create depends on your plan. If you reach the limit, a message will appear to notify you.
  • Note that Field Type cannot be changed once a field has been created.
